Independent insurance agents get pitched constantly by lead vendors and software reps, so generic outreach dies fast. These templates lead with their actual day: renewals, cross-sell, carrier portals and follow-up that slips. Fill in the brackets, send ten a day, and track replies in a spreadsheet.

1. LinkedIn DM to an agency owner

Subject: n/a (connection note). Body: "Hi [first name], saw you run [agency name] in [city]. I'm building a simple CRM for independent agents that flags renewals and cross-sell gaps (auto client, no home policy). Not selling yet. Could I ask you 3 questions about how you track renewals today? 15 minutes, your schedule." Use this for owners and principals found by searching LinkedIn for "independent insurance agency owner" plus your state.

2. Cold email to a producer

Subject: "How do you track renewals at [agency name]?" Body: "Hi [first name], I'm [your name], building a CRM for independent P&C agents. Most producers I talk to keep renewals in [AMS name, e.g. Applied Epic or EZLynx] plus a spreadsheet or sticky notes. Is that true for you? If you reply with how you do it now, I'll send you a free 60-day renewal list template either way. [your name]" Use this for producers and account managers whose emails are listed on agency websites or state license lookup pages.

3. Reddit post in r/Insurance or r/InsuranceAgent

Title: "Independent agents: what falls through the cracks in your follow-up?" Body: "I'm a founder building a lightweight CRM for independent agents. Not linking anything. I want to know where follow-up breaks for you: renewals, quotes that went cold, cross-sell, referrals? I'll compile the answers and post a summary here." Use this once per community, and only after reading the rules and commenting on a few threads first.

4. Facebook group post

Body: "Question for the group: how many of you use your AMS for follow-up vs a separate CRM vs a spreadsheet? I'm building a CRM for independent agents and want to build what you'd actually use. Looking for 5 agents to try it free for [30 days] and tell me what's wrong with it. Comment or DM." Use this in groups for independent agents and agency owners after checking that the admins allow founder posts.

5. Follow-up after no reply

Subject: "Re: How do you track renewals at [agency name]?" Body: "Hi [first name], one more try, then I'll stop. If renewals and cross-sell follow-up aren't a pain at [agency name], just reply 'no' and I'll take you off my list. If they are, I'd value 15 minutes." Send this once, 4 to 5 days after the first message, and never a third time.

6. Ask for a referral after a call

Body: "Thanks for the time today, [first name]. What you said about [specific pain, e.g. losing track of quotes after the first call] was really useful. Do you know one or two other independent agents, maybe from your [cluster or network name] or a local association, who'd talk to me? A name or an intro is plenty." Use this right after every discovery call, because agents trust other agents far more than vendors.

7. Invite to a free pilot

Subject: "Free pilot for [agency name]" Body: "Hi [first name], based on our call I set up a version that [specific fix, e.g. emails you every client renewing in 60 days who has only one line of coverage]. I'll import your book from a CSV export and set it up for you. Free for [30 days], then [price]/month if it's worth it. Want me to start this week?" Use this for agents who described a clear pain on a call, and set it up for them yourself. Hulby, an AI cofounder, can find these agents and draft and track this outreach for you each day.

Mistakes to skip

  • Opening with features instead of their renewal and cross-sell problems.
  • Pitching in agent groups before you have commented or helped anyone.
  • Ignoring their agency management system and positioning against it.
  • Sending three or more follow-ups to someone who never replied.

Want this done for your CRM for independent insurance agents, every day?

Hulby finds the people asking for what you built, writes every reply and email, and keeps you on it until they pay. Free to start.

Questions

Who should I message first, owners or producers?

Owners of small agencies with 1 to 10 people. They feel the pain and can say yes without a committee.

Should I target P&C or life and health agents?

Pick one. P&C agents have more renewals and cross-sell to track, which makes the pain easier to show.

How many messages per day?

Start with 10 to 20 personalized ones. Volume without personalization gets ignored by agents who already get vendor spam.

Should I charge pilot users?

Make the pilot free and short, and name the price up front so the paid conversation is already started.
